Windham Moms Alliance (WMA) Policies & Membership Agreement

Introduction

The Windham Moms Alliance (WMA) is a social club dedicated to moms in Windham, NH, and surrounding areas. Through organized events and meaningful connections, WMA offers a space for parents to support one another and build community.

To ensure a positive experience for all members, participation in WMA requires agreement to the following policies. Failure to comply may result in warnings, restrictions, or membership revocation.

1. Membership & Participation

Membership Eligibility & Requirements

  • Membership is open to parents residing in or near Windham, NH.
  • Members must create an account on Cheddar Up, WMA’s digital payment and tracking tool, to join.
  • Membership options:
    • $30 for annual membership (one-time payment).
    • $25 for annual membership with auto-renewal (automatically charged on the same date each year).
  • Members who choose auto-renewal can cancel at any time by:
  • Logging into their Cheddar Up account.
  • Emailing the Membership VP at membershipvp@windhammoms.org with the subject line: Membership Renewal Cancellation.
  • Members are encouraged to reach out to the Membership VP at membershipvp@windhammoms.org for any membership-related inquiries, such as moving out of state.
  • Members must abide by WMA policies, participate respectfully, and engage positively within the community.

Prospective Member Trial Policy

  • WMA reserves the right to deny membership to any individual.
  • Any prospective or current member who has been convicted of a crime involving moral turpitude (including, but not limited to, murder, fraud, arson, or similar offenses) may be denied membership or subject to removal at the discretion of the WMA Executive Board.
  • Membership revocation decisions due to such convictions require a two-thirds vote of the WMA Executive Board.

Denial of Membership

  • WMA reserves the right to deny membership to any individual.
  • Any prospective member convicted of a crime involving moral turpitude (including, but not limited to, murder, fraud, arson, or similar offenses) will not be permitted to join.

Membership Revocation & Dispute Resolution

  • Any member who violates WMA policies will receive a warning.
  • Further violations may result in membership revocation, which requires a two-thirds vote of the WMA Executive Board.
  • Any disputes arising from WMA policies or activities should first be discussed between the member and the Board.
  • If the dispute remains unresolved, it will be handled through arbitration under the Commercial Arbitration Rules of the American Arbitration Association. Arbitration will take place in a jurisdiction closest to Windham, NH, and awards will be limited to the amount of dues paid for one annual membership. Arbitration is the exclusive venue for resolving disputes with WMA, is legally binding and not subject to appeal. By joining the WMA, I acknowledge the above.

2. WMA Facebook Group & Social Media Policies

General Expectations for Online Conduct

The WMA Facebook group is the primary space for communication, support, and event coordination. Members are expected to engage respectfully and constructively.

Do’s

  • Refer to the Facebook group for the WMA event calendar.
  • RSVP to events on Facebook when possible.
  • Treat all members with courtesy and respect.
  • Use the group to connect, ask questions, seek advice, and arrange meetups.
  • Offer support to other members, “like” posts (when appropriate), and engage positively in discussions.
  • Post honest feedback, whether positive or negative. If negative, provide a general description but share details privately.

Don’ts

  • Do not share content from the WMA Facebook group (including screenshots, newsletters, or discussions) with other groups or individuals.
  • Do not engage in name-calling, confrontations, or personal attacks.
  • Do not use the group to discuss national politics or to rally support for political causes. Discussions on local issues affecting families are permitted but must remain respectful and non-partisan.
  • Do not block WMA Board Members or group administrators.

Moms in Business Promotion Policy

  • Business promotion is limited to two posts per year in the main WMA group.
  • Additional promotions are allowed in the Windham Moms in Business Facebook group.
  • Members may comment on their post to remind others about an event or sale.
  • Business discussions should be positive, supportive, and encouraging.

Facebook Group Guidelines

The main WMA Facebook group follows these additional expectations:

  1. Be Kind – Maintain a welcoming and respectful environment. Healthy debates are fine, but name-calling or rudeness is not permitted.
  2. Respect Everyone’s Privacy – What is shared in the group stays in the group. First offense results in a written warning; repeated offenses may lead to membership revocation.
  3. Event Promotion & Participation – Members are encouraged to post about and invite others to playdates, coffee meetups, walking dates, etc. Alliance-sanctioned events will be created as Facebook events.
  4. Fundraisers – If a member’s child is participating in a school or community fundraiser, they may post about it under the designated fundraiser announcement pinned in the group.

3. Events & Activities

RSVP & Attendance Expectations

  • Members should RSVP to events to assist with planning.
  • If unable to attend after RSVPing, members should notify the event host.

Health & Sickness Policy

To ensure the well-being of all members and their families, members should not attend events if they or their child:

  • Have had a fever of 100.4°F or higher within the last 24 hours.
  • Have experienced vomiting or diarrhea in the past 48 hours.
  • Have a contagious illness, such as conjunctivitis (pink eye) or a persistent cough.
  • Have been on antibiotics for less than 24 hours.

Family & Caregiver Participation Guidelines

  • Family Events: If a WMA member cannot attend, another parent, legal guardian, or caregiver (age 18+) may attend in her place. The event coordinator must be notified in advance.

4. General Conduct at Social Events

Honest Feedback

WMA values open communication. Members are welcome to share feedback, both positive and negative. However:

  • Negative feedback should be general when posted publicly.
  • If further discussion is needed, members are encouraged to communicate privately with the relevant party.

Aggressive Behavior

Parents or caregivers are responsible for their children’s behavior at all times during WMA events. While we understand that children have different developmental needs and abilities, behaviors that pose a risk to others must be managed appropriately.

  • If a child exhibits behavior that may harm another child (e.g., hitting, biting, kicking), the parent should intervene immediately and remove the child from the activity for a brief break.
  • If the behavior continues and poses an ongoing safety concern, the parent may be asked to leave the event.
  • WMA recognizes that some behaviors may be linked to developmental differences or disabilities. Parents are encouraged to communicate with event organizers if their child may need additional support in a group setting.

Alcohol Policy

  • At events where alcohol is served, members should consume responsibly.
  • If a member’s behavior causes concern to another member or the venue, they may be asked to leave.
  • No refunds will be issued for members asked to leave due to behavior related to alcohol consumption.
  • If a guest’s behavior is problematic, both the guest and the hosting member may be asked to leave.
  • Under most circumstances, children are not permitted at events where alcohol is served, except for nursing infants.

5. Liability Waiver & Agreement

I, THE UNDERSIGNED, UNDERSTAND THAT MY PARTICIPATION AND THE PARTICIPATION OF ANY MEMBERS OF MY FAMILY IN ANY WINDHAM MOMS ALLIANCE (“WMA”) ACTIVITY OR PROGRAM IS COMPLETELY VOLUNTARY, AND WE HEREBY GIVE PERMISSION FOR MYSELF AND MY FAMILY TO JOIN IN THOSE ACTIVITIES OR PROGRAMS.

MY FAMILY SHALL HOLD HARMLESS WMA, ANY WMA VOLUNTEERS OR REPRESENTATIVES, PAID OR UNPAID, AND/OR THE PROVIDERS OF ANY ACTIVITY OR PROGRAM LOCATION AND/OR MATERIALS FROM ANY LIABILITY AND/OR RESPONSIBILITY FOR ANY ACCIDENT, ILLNESS, OR INJURY THAT OCCURS DURING OR AS A RESULT OF ANY FUNCTION OR PROGRAM. I ACCEPT THAT THE FINAL RESPONSIBILITY FOR MY SAFETY AND THAT OF MY FAMILY RESTS WITH ME.

PHOTOGRAPHS, AUDIO RECORDINGS, OR VIDEOS MAY BE TAKEN DURING ANY WMA ACTIVITY AND USED FOR WMA NEWSLETTERS OR PROMOTIONAL PURPOSES. A MEMBER MAY REFUSE TO ALLOW WMA TO USE PHOTOGRAPHS OF THEIR CHILD(REN) FOR PROMOTIONAL PURPOSES BY INFORMING A BOARD MEMBER VERBALLY OR IN WRITING. HOWEVER, WMA CANNOT GUARANTEE THAT A CHILD WILL NOT APPEAR IN THE BACKGROUND OF EVENT PHOTOS.

Agreement & Signature

By signing below, I confirm that I have read and agree to abide by the Windham Moms Alliance (WMA) Policies. I understand that WMA membership requires an annual fee of $30, or $25 with auto-renewal, and that participation in WMA activities is voluntary.
